An extremely successful, friendly and welcoming Consulting Firm in Victoria is seeking a Secretary to provide full administrative support across the team up to Partner Level. A busy and varied role which would suit someone who is super organised and conscientious and who really cares about their role.
Sense of humour and a personable manner are key for this company, they have a real family feel about them and really invest in their staff. Working in small company of just 20 people, it is essential you are a real team player and happy to muck in, with no task being too small.
They are ideally looking for someone who is secretarially trained, and would look at either someone who is looking to jump on the career ladder and is keen on learning and developing or someone more experienced who wants a varied and busy role where they can add value.
Their offices are a stone’s throw from Victoria station, where you can enjoy the sites and some lunch time shopping!
Strong Word and Excel is key as is 50wpm (audio and copy).
Providing administrative support to the Partners and Engineers/Architects, duties will include:
- Making/handling telephone calls, dealing with queries, taking messages etc.
- Recording incoming documents (paper and electronic), checking for omissions
- Liaising with staff, suppliers and clients professionally
- Copy/dictation (tapes and direct) word processing for letters, tables and reports
- Proof reading draft letters and reports
- Diary and electronic calendar management
- Inputting data into Excel spreadsheets
- Downloading, batching and compiling site photographs
- Planning travel itineraries (travel/accommodation) Implementing and maintaining procedures/administrative systems
- Scanning/photocopying and handling electronic file transfers of documents
- Collecting post from the local Royal Mail PO Box
- Filing
- Preparing lunches for meetings
- Archiving documents
