Are you looking to kick-start your career? We have a lovely new role on for a Receptionist / Office Assistant to join a high end financial services firm based in the West End. 

As the Receptionist you will be the face of the company and the first point of contact for clients therefore you will need to be well spoken, articulate and well presented.

This is a fantastic opportunity for someone looking to kick start their career within a support role where you can grow and develop within your role and make it your own!

Duties will include: 

  • Answer incoming calls (first in line) and forward messages
  • Meet and greet clients
  • Make refreshments for meetings
  • Set-up meeting rooms for client meetings and ensure meeting rooms, reception and communal areas are tidy
  • Order food and refreshments for meetings
  • Order couriers, taxis and accept deliveries
  • Responsible for all outgoing post
  • Set-up and co-ordinate conference calls and webinars for staff and clients
  • Responsible for ordering and replacing printer toners, manage recycling of toners and call-outs for printer engineers
  • Responsible for emptying paper shredding bins and collection of shredding material
  • Responsible for keeping the kitchen stocked and tidy (including emptying dishwashers)
  • Responsible for maintaining stock of ladies’ toiletries
  • Liaise when necessary with office cleaning contractors
  • Ordering & maintaining stationery & grocery supplies; maintaining records of orders & deliveries
  • Issuing new/replacement security cards
  • Maintaining and distributing list of internal telephone extensions/numbers

Along with reception duties, you will also be involved in other ad hoc secretarial tasks, including: 

  • Ad hoc support to regional secretary and London office secretary including travel booking 
  • Provide support to Office Manager with compiling & submitting expenses
  • Ad hoc support to the finance team with basic administrative tasks
  • Ordering & restocking business cards
  • Some events planning for the Project Finance team
  • Print and bind documents and marketing material for client meetings

This role is to start in the beginning of March so looking for someone who is immediately available or on a short notice. 

Training and a handover will be provided. 

Hours will be 8am - 4pm.
