EA Coordinator & Office Manager Maternity Cover

Our client, based in the heart of the West End currently has a maternity cover position to come in for twelve months and look after all the EA's and Office Management duties.  You will also have a team who will report directly into you.

You will be first point of contact for all the EA's. You will work very closely with the consultants and understand their requirements/needs.  You will look after all the Float EA's and manage all holiday requests. You will also be involved in EA hiring as and when required conducting interviews. You will welcome new EA's into the group and ensure they are all settled in and be responsible for their training programme. 

You will also look after the front of house area and the receptionists and ensure this is running smoothly providing a five star service internally and externally.  You will ensure that all the meeting rooms are kept up to standard as well. Responsible for holiday and sickness cover.  Constantly reviewing systems and processes.  Available 24/7 for the securing and building manager in case of any emergencies. Ensure everyone is aware of client events happening within the building. 

Office Management duties - ensure that all contracts and supplies are running smoothly and approve invoices. Manage the Facilities Assistant who is responsible for stationery and office supplies. Resolve any issues regarding phones/IT/Desks etc. liaising with IT.  Working closely with HR and building security team. Attending building management meetings. Point of contact for any maintenance issues. Health and Safety and Risk Assessments, PAT Testing Certificates. Ensure that the office is running smoothly in all areas.  Ad-hoc office related projects.

This is a busy and varied role and you will have experience in a similar role.  You will have a real understanding of the EA role as well as Office Management experience within a professional services organisation. Excellent communication skills and able to manage a team efficiently and effectively.  Able to work well under pressure and to deadlines and able to juggle and prioritise a varied workload.  Excellent communication skills and able to deal with the demands of a fast paced environment and dealing with Partners.
