My client is based just off Oxford Street and is looking for an Office Administrator/Junior PA to join their team.

Client Details

My client is a globally well-known wholesaler of mens' shirts and suits. They work with well-known retailers on the British high street. Their head office, based off Oxford Street, is a small and quiet working environment of eight members of staff.

Description

As the Office Administrator/Junior PA, you would be responsible for:

  • Sitting on reception; answering and fielding all calls
  • Sorting post
  • Ordering stationery/office supplies
  • Maintaining filing systems
  • Upholding immaculate office presentation
  • Greeting visitors and making them refreshments
  • Liaising with external bodies i.e. Courier services, cleaners, maintenance bodies.
  • Keeping office service/maintenance records up to date i.e. Services reports, fire risk assessments etc

  • Specific tasks to accommodate the Company Chairman; you will regularly communicate with his secretaries in India to ensure his requests are carried out. I.e. shopping, theatre bookings, restaurant bookings, research on products etc.
  • Keeping an up to date team shared calendar
  • Keeping record of all staff sickness/holiday
  • Sending gifts to clients/customers
  • Organise team events. E.g. Christmas parties, birthday lunches
  • Range of administrative/accounts tasks - Knowledge of SAGE accounting software would be beneficial but not compulsory
  • Travel bookings - Domestic, International, taxi, car hire, chauffeur services

The suitable candidate for Office Administrator/Junior PA must be/have:

  • Professional and hardworking with strong written/verbal communicative skills
  • Able to work independently
  • Excellent administration skills
  • Friendly, down to earth and able to integrate well with the team
  • Able to adapt to changing circumstances
  • All-rounder who is happy to pitch in wherever they are needed
