Our client are seeking to appoint a highly motivated, organised and efficient Office Manager who can demonstrate excellent administration, interpersonal and IT skills. You need to be suitably qualified, experienced and have the necessary attributes to work with a highly committed team of staff in the Head Office of a fast paced, high pressure Construction Engineering firm.
The Role
- Day to day office management
- Proof reading, editing contracts and dealing with tenders
- Point of contact for IT issues, organising engineers, dealing with telecoms
- Managing the reception area / dealing with enquiries / message taking
- Some PA duties to the directors when required
- Downloading, printing, collating documents for the directors
- Facility management
- Filing / updating databases / folders / calendars
- Dealing with petty cash
- Keeping employees records up to date, starters / leavers etc.
- Ordering stationary / couriers / cleaning products
- Overseeing a small office team / liaising with relevant staff
About You
- A construction background is essential along with 10 years office experience, 5 of those at office management level.
- Formal qualification in Business/Office management.
- 55 wpm and excellent note taking skills.
- Proficient in Microsoft packages and Dropbox experience.
- Excellent interpersonal and communications skills, demonstrating the ability to relate well to staff of all levels including Upper Management and clients along with excellent attention to detail.
- Proven organisational skills along with the ability to find solutions and to think ahead.
- Ability to manage a variety of competing priorities and meet deadlines.
- Ability to be flexible and adapt to a fast paced environment.
- Good team player with the ability to work calmly under pressure - understand the importance of confidentiality, tact and discretion.
- Excellent command of written and oral English is essential.
