Secretarial Manager – competitive salary 

Our client, Langleys Solicitors LLP, is a progressive full service law firm providing a range of legal services across three Divisions: Insurance, Commercial and Private law.  Langleys offers an ambitious, progressive and supportive environment focused on continual growth and development. 

A fantastic opportunity to join the team is currently available for an experienced secretarial or support manager with good people management skills.  You will report to the Head of HR and be responsible for the management of a team of secretaries and the administrative support function across both York and Lincoln offices along with an administration manager.  A proactive approach working on your own initiative to improve efficiencies, manage change, develop and maintain high quality secretarial services is paramount within this role. 

 Key responsibilities will include:

  • Ensuring standards are consistent across all departments
  • Day-to-day management of the administrative manager, a team of secretaries, an administrative support team and document production team who support all areas of the firm
  • Maintaining work volumes and continually reviewing work levels and capacity of the secretarial teams, redistributing work where appropriate
  • Monitoring productivity and work quality of teams and individuals, implementing improvement plans where necessary
  • Continually assessing support staff requirements to ensure appropriate resource levels across the firm
  • Regularly communicating with partners and fee earners to ensure consistent delivery of quality work is maintained and process improvements are discussed
  • Continually reviewing processes and procedures, implementing changes as required
  • Implementing new projects and initiatives ensuring efficiency gains are maintained
  • Developing and delivering MI to monitor productivity and performance
  • Creating a clear plan to ensure support staff are developed in the most effective way
  • Working with HR to resolve any identified performance, conduct, attendance, health or other HR issues within the team
  • Liaising regularly with the learning and development team to ensure training is developed and delivered in accordance with business need
  • Managing the performance review process for secretaries and administrative support staff on a continuous basis
  • Ensuring a thorough understanding of BigHand digital dictation and monitoring the utilisation of Speech Recognition
  • Ensuring timely recruitment and induction of new members to the secretarial and support teams

In order to be considered for this fantastic opportunity you will have a proven track record in secretarial or support management role, in a professional services organisation, having managed and supervised secretaries and are skilled in managing change and influencing senior team members.  You will have successfully managed a large team, work allocation, recruitment and selection and learning and development initiatives, ideally across multiple sites with good organisation skills.  You will be a confident communicator and have excellent relationship building skills at all levels.
