Well-established Investment bank, based in the heart of the City is looking for a Team Secretary to provide comprehensive support to a busy team of deal-driven Directors. This role requires excellent interpersonal and communication skills, superb time management and organisations skills

Responsibilities

  • Extensive and often complex diary management
  • Organising various meetings, conference calls and video-conferences
  • Frequent liaison with overseas offices, clients and senior management, building relationships at all levels
  • Organising client hospitality – lunches & dinners etc.
  • Coordinating events & offsites
  • Reconciling expenses and claims promptly
  • Extensive and often complex global travel arrangements
  • Preparing detailed itineraries including visas
  • Creating and amending various reports and presentations
  • Gatekeeping – screening/actioning emails and calls
  • Managing all holiday/absence records

Requirements

  • Previous secretarial/PA experience ideally gained within Banking, Financial Services or Professional Services firm
  • Strong MS Office skills
  • True team player approach, happy to work closely & cover other Assistants within collaborative working environment
  • Excellent interpersonal skills with the ability to liaise effectively at all levels
  • Ability to maintain a high level of confidentiality at all times
  • Strong organisational and time management skills
  • Ability to manage and prioritise a heavy and varied workload to a high standard
  • Adaptable and flexible working attitude
  • Ability to work well under pressure and meet tight deadlines
  • Proactive attitude
  • Meticulous attention to detail
