A rare and exceptional opportunity for a Senior EA to join the Premier Livery Company of the City of London with a 700 year history and over 400 members (Liverymen and Freeman). The Company’s core purpose is Philanthropy and funds its activities from its investments, mainly property in London’s West End and the City. The Company is also trustee of a number of charities. Discretion, diplomacy and a full understanding of confidentiality is required, along with and understanding and respect in the traditions and history of the Company.
Key areas of responsibilities
- Manage the CEO and Chairman’s diaries, developing a schedule that maximises effectiveness and impact. This will include intricate diary management, full meeting preparation and briefings and exceptional forward planning
- Act as a first point of contact and an ambassador for the CEO with a wide range of internal and external contacts, including at the most senior level, demonstrating a keen eye for detail and excellent communication skills in both written and verbal forms
- Develop and maintain systems to ensure the effective flow of information, assessing what information needs to be passed on, to whom, and according to what timescales
- Participate on working groups and/or leading small projects to support the development of policy, process or systems
- Ensure that the CEO and Chairman are fully briefed for all meetings, decisions, travel and external engagements, drafting materials and arranging briefing sessions with relevant colleagues
- Plan and book complex travel itineraries and coordinate all the associated logistics
- Organise events on behalf of the CEO, which includes the management and coordination of VIP visits
- Produce presentations for internal and external audiences
- To have an understanding of the strategic objectives across the Philanthropy, Fellowship and Stewardship teams and proactively assisting the team in achieving these objectives
- Being a trusted advisor advising on; the preparation of the Company Calendar, formality of address, guest lists and table plans, event protocols
- Attending Company events when required
- Support the recruitment and induction of new employees
Requirements
- Excellent academic background and previous experience at Board/CEO level
- Excellent Microsoft office skills
- Proven ability to manage conflicting demands whilst maintaining deadlines and professionalism
- Minute taking at executive level, audio and copy typing
- Excellent communication skills and ability to influence and network
- Political awareness and diplomacy
