We have an exciting opportunity to tell you about.  One of London’s Independent PR Agencies based in South West London is now recurring an Office Manager.  As their Office Manager you will become an integral part of a small yet growing, dynamic and fun team.

Given the current successes being encountered by the Agency, we are looking for a confident self-starter who will be responsible for maintaining all aspects of the office and the team. This person will also have a critical role in supporting the Account teams in managing client financials through managing invoices, POs and monthly tracking.

A calm demeanour coupled with an outgoing and collaborative personality, the Office Manager will provide consistent support across all areas of the business.

Office Manager Assessment Criteria

Day to day responsibilities

 

  • Maintenance of all aspects of the office
  • Liaison with the landlord for building requirements (e.g. keys)
  • Maintenance of the kitchen area including ordering of tea/coffee as well as ordering water, keeping fridge stocks etc.
  • IT support – liaison with external provider on any IT requirements
  • Travel logistics support
  • Maintenance of all ongoing staffing requirements/issues, including full oversight of holiday requests and sick days as well as monitoring holiday entitlement
  • Updating health and safety file and riskassessments
  • Diary management support of Managing Director and Clinical Director, including all travel support and meeting assistance
  • Arranging staff events such as Summer and Christmas parties
  • New starter management
  • Support team in management of recruitment, including handling of CVs and liaison between team and recruiter, also arranging interviews and supplying feedback torecruiters
  • Issuing appropriate employment contracts and paperwork to new employees
  • Set up of IT requirements including new email, laptop and supporting services (using IT support team)
  • Preparation and maintenance of new starter paperwork and documents
  • Induction of new starters including explaining processes and ways of working and setting up appropriate induction meetings/welcome lunch

The ideal candidate will be/have:-

Calm, assured, able to meet the changing needs of the office and team Proactive in managing people, processes andsituations Organised with excellent time management and ability to prioritise appropriately Good financial acumen with understanding of estimates, invoicing, forecasting Proficient in Word, PowerPoint and Excel
