Have you got experience working as a PA/Administrator for a legal Counsel and/or Investor Relations Manager?
We are working with a fantastic Private equity firm, who have created a new role and looking for an experienced PA/Administrator. This will be an integral role within the company and it is essential that you are not looking for a traditional PA role but an all round PA who will be able to get fully involved with the nitty gritty of the business.
It is a varied and changing role, with some areas of specific focus it encompasses broader office support. We are undergoing a period of change, so the role will continue to be varied and changing, so we are looking for someone who is adaptable and flexible and who can manage their time, understanding changing priorities and requirements whilst continuing to provide a high level of customer service.
We are looking for a strong administrator, who is highly organised, with a great level of attention to detail, fun, personable and friendly and someone who is proactive and capable of working independently. Yet above all this, you need to be a team member who will go the extra mile that is required to meet the challenges when they arise and this may include occasional out of hours’ support!
Key Areas of Responsibility:
- Legal Administrative Support – providing administrative support on legal and compliance matters including:
- Assisting with company secretarial work, such as preparing board papers and agendas, and general maintenance of company registers
- Supporting the compliance and regulatory function by making filings and assisting with the general maintenance of internal materials
- Supporting legal processes and generally assisting with the maintenance of the business’s legal files
- Investor Relations Administrative Support – supporting the Investor Relations team in:
- Co-ordinating meeting schedules and the preparation of supporting materials including editing and formatting of Power Point presentations.
- Maintaining accurate and detailed CRM data which will require close liaison across the whole organization.
- Co-ordinate the preparation and delivery in an accurate a timely manner of confidential information to potential investors via a data room.
- Provide organisational support to Investor Relations events including the preparation of materials.
- Information Services Administration – supporting Marketing team with administrative support including:
- Prepare and update various contact lists for marketing and web based mail shots.
- Collate collateral for mail shots.
- Maintain various databases and files.
- Co-ordinate and assist with completion of questionnaires.
- Support Team Administration – providing a professional and high level of administrative support to the business and Fund Administrators. This will include managing expense claims and travel bookings, email management and providing holiday cover for other support team members.
- Document & Business Systems Data Entry & Management – proactive data entry and comprehensive information file management e.g. on business deals and contact information, to drive accurate internal and external reporting and enable regular management information to be produced on time.
- General Office Support - provide office and reception support including though not limited to answering the switchboard, postal and courier deliveries, reception duties etc.
- You will have the following qualities:
- Strong organisational skills. Capable of multi-tasking and remaining calm, often in demanding situations, where the ability to prioritise, follow-up and focus on requirements is paramount.
- Excellent administrative skills - highly accurate with a great level of attention to detail and able to work under pressure and to tight timescales at times.
- Customer Focused – able to identify who both your internal and external customers are and to provide a high level of customer service, representing the company in a professional manner at all times.
- Confident, self-motivated and a self-starter - proactive and able to work on own initiative, implementing good practices and maintaining high standards throughout all aspects of the role.
- Excellent communication skills, both written and verbal. Fluency in English is essential, combined with a polite and confident telephone manner.
- Excellent interpersonal skills – friendly, fun and personable, who can build good working relationships at all levels within the organisation.
- A strong team player who contributes to the overall success of the Company, with a flexible outlook and approach who understands and can balance the peaks and troughs of workload, providing flexibility as may be required in a busy role, which may include the occasional out of hours/weekend work.
- Experienced and adept in Microsoft Outlook, - Word, Excel and PowerPoint with the aptitude and ability to learn and grasp new technology quickly. Particularly skilled in preparing and updating PowerPoint presentations and competent in excel.
- Numerate and technical able to learn and grasp new things with relative ease. Able to understand and interpret financial and technical data. deally a minimum of two A-levels or equivalent.
This is a fantastic role for someone who is flexible, loves to learn and keen to get involved in Investor meetings. You will also love systems and processes! There is going to be lots of new IT infrastructure, so will be lots of projects to get involved in.
