Amazing opportunity for an experienced Office Manager/Operations Manager to join a respected and highly successful finance house based in central London. They are looking for someone to cover a nine-month Maternity Contract (at least initially) and take full management of the London office.  

The role will offer full autonomy and lots of variety and challenge.  After the appropriate training, you will be left to make your own decisions, take ownership of projects and make decisions on how best to implement systems and procedures. 

KEY RESPONSIBILITIES

  • First point of contact for handling day-to-day IT issues across the London office (18 staff) and regional offices (39 staff)
  • Manage all subscriptions and publications
  • Full facilities management; dealing with building issues, liaising with landlord, attending tenants’ meetings etc
  • Extensive supplier management, negotiating contracts to attain best value and service.
  • Managing the Receptionist and assisting/covering when needed
  • General maintenance of the office environment
  • Assist with logistics for events such, AGM, Partners meetings and Offsite functions
  • Monitoring/recording holiday/sick leave across the four offices
  • Assist Head of Administration with ad-hoc HR such scheduling interviews for professional staff, onboarding new starters, inductions etc
  • Reviewing and updating annual budgets in conjunction with Accounts Department
  • Managing invoices before sign off by the Head of Administration
  • Management of the London admin team (3 in total)

ESSENTIAL KEY SKILLS

  • A steady CV with experience in a similar Office Management role within the financial sector, ideally Private Equity or Asset Management
  • Strong IT skills and able to problem solve together with a good knowledge of facilities management
  • A robust and resilient character, able to negotiate effectively, not afraid to speak up yet remain approachable and professional
  • A very proactive manner; willing to take full ownership of your role, make it your own, develop new ideas, ways of doing things and ensuring that the office runs like a well-oiled machine!
