Our client is looking for an experienced EA to support the Chief Executive Officer. This role includes interaction and coordination with all staff across the business, as well as clients and partners across the world.
They will have diary management responsibilities for the CEO’s calendar; minute the Group & UK Board meetings. Day to day they will work closely with the Sales & Marketing Manager, Sales & Marketing Assistant and across Senior management team to ensure delivery of group actions points.
The role exposes the candidate to key decision makers within the Business and requires the candidate to have sufficient gravitas and judgement in dealing with confidential information. The ideal candidate should have proven experience as a PA. /EA.
EA Duties:
• To provide the CEO with an effective and efficient executive service.
• Proactively take full responsibility for the management of diaries, organise and plan meetings and events including any preparation required.
• Run the CEOs/groups action points ensuring these are continually updated and he is briefed on progress.
• Coordinate with London, New York, Australia, Germany and overseas teams, keeping track of timelines and budgets, including tracking milestones and deliverables.
• Support the CEO in his sales activities, to include pre-pitch documentation, and research follow up of contracts and proposals and ensuring that the sales process is completed in a timely manner.
• Be very aware of and prioritise the CEO’s business matters, escalating as appropriate.
• Assisting in the creation and development of documentation ahead of management and team meetings, ensuring a high standard of accuracy and presentation is maintained.
• To act as a principal point of contact for internal and external clients for the CEO
• Oversee travel arrangements.
• Process expenses for the CEO.
• Prioritise and manage multiple projects simultaneously and follow through on issues in a timely manner.
• Ensure an agenda is issued prior to each Board meeting, prepare Board packs, take meeting minutes, and issue these promptly after the meeting to allow follow up.
• Expedite and prepare slides ahead of the monthly Last Thursday meetings
• Develop and deliver progress reports.
• Ad hoc tasks as necessary.
• Key Skills
• Experience within the financial sector
• 3+ years of experience in a similar role.
• Exceptional communication skills, providing clear and consistent communication between the CEO, executive team, internal departments and external parties
• Confident, articulate, and can demonstrate great presence and gravitas.
• Highly proficient at using Word, Excel, PowerPoint and Outlook.
• Ability to use Microsoft CRM/Sales Force
• Proficient at complex diary management to ensure smooth operational logistics. • Organised, detail-oriented and accurate
