A well respected Asset Management firm based in the City are looking to hire an Executive Assistant on a contract basis to provide senior level support to both to CEO and CCO.

This is an ongoing contract with the potential for the role to go permanent; all candidates applying for the role must have previous experience working in Financial Services and have a proven record of supporting at COO/Board Level.

This is role is paying up to £23 per hour and the working hours for this role are 9am - 6pm

Key Accountabilities:

  • Complex diary management, scheduling meetings in multiple time zones and effectively resolving scheduling conflicts
  • Coordinating complex travel, meeting schedules and itineraries
  • Preparing, reconciling and submitting travel and corporate expenses
  • Meet and greet, liaising with visitors
  • Maintaining relationships with internal and external stakeholders at senior level
  • Dealing with enquiries that come into the CEO/CCO in the first instance - directing as necessary
  • Work on presentations for the CEO/CCO alone and with other members of their teams
  • Preparing and distributing information packs and presentations
  • Collating documents ahead of meetings
  • Providing ad hoc cover for management from overseas offices
  • Providing support on technology e.g. for presentations video/tele conferencing
  • Arrange small events/dinners and liaise with the Events team on larger activities
  • Ad hoc duties as required.

  • Excellent organisational skills - prioritise work according to deadlines
  • Confident and professional writing skills, including ability to draft correspondence on behalf of the CEO/CCO, and knowledge of etiquette for formal correspondence
  • Sensitive to other peoples' work pressures
  • Excellent telephone manner
  • Able to communicate effectively across all levels
  • Plenty of initiative. Ability to research and find specific facts quickly
  • Develop an understanding of team objectives in order to work pro-actively
  • Strong computing skills: intermediate Word; PowerPoint; Outlook; Visio; Adobe.
