My client, a global Real Estate investor with an enviable portfolio, is looking for a person to join a new team and growing venture.  You would start on a temp basis and further down the line this will hopefully become permanent. 

The role itself involves providing support to two very busy executives and a small team so you will need to be the kind of person who doesn’t mind rolling their sleeves up and taking on whatever task is required at the time. 

Duties will include;

  • Producing high standard correspondence
  • Overseeing and managing Outlook inboxes, responding to items on their behalf where possible and alerting them to urgent items.
  • Producing PowerPoint presentations and reports, drafting large documents e.g. Board Reports, Strategy Reviews, Business Plans etc. to tight, sometimes short, deadlines.
  • Maintaining intensive diary management using Outlook
  • Arranging meetings, lunches and dinners, ensuring any necessary documentation is provided in a timely manner.
  • Co-ordination between overseas offices and making arrangements for the CEO and CIO’s attendance at external meetings and conferences globally
  • Making complex travel arrangements; preparing itineraries, trip file and supplies where necessary in line with company travel policy
  • Completing personal and company card expense reports;
  • Ensuring that matters of a routine nature and more critical matters are dealt with promptly and efficiently.
  • Developing and maintaining effective filing and retrieval systems, both computerised and manual, in a methodical manner keeping confidential information locked away at all times.

You will need to have a good standard of education together with significant experience providing confidential secretarial and administrative support to Management. A high level of IT skills, a friendly disposition and the ability to work to tight, short deadlines are all essential.
