Our client a world-renowned arts organisation based in Central London requires a Corporate Events Administrator to start ASAP. This is a temporary role until they recruit someone permanently, this may take up to 3 months. The main duties of this role will include:
- Responding to all event enquiries by telephone, email and post
- Assisting with client liaison for all necessary details of an event including telephone enquiries, coordination of event details and guest list requirement
- Generation of client documentation
- Collate relevant event details in a timely manner
- Generation of all event related invoices
- Maintenance of accurate financial records
- Supporting the Head of Business and Deputy Head of Business with management of all event expenditure, approval of supplier invoices for payment and checking accuracy of management
- Liaising with event suppliers
- Chasing invoices
- Arrangement of various group meetings, distribution of agendas, papers and minutes as required
- Diary scheduling for all members of the team
- Maintenance of all event related paper and electronic filing
- Maintenance of stationary stock
- Maintenance of events promotional and marketing material stock
- Maintenance, archiving, distribution and management of image stock
- Provide assistance at daytime events where necessary
- Conduct event related research
- Write newsletters for clients, supplier and art experts
- Maintain useful timetables
- Assist with the smoot running of the Corporate Development and Events team
- Work closely and creatively with the other departments
- Provide additional administration support for the wider Events team when required
The successful candidate must be able to demonstrate experience providing effective administration support in a fast-paced dynamic environment. You need to have excellent prioritisation and time management skills, able to work to tight deadlines, confident, polite manner, have exceptional telephone manner and client liaison skills and be highly organised. You need to be highly motivated, have strong attention to detail, able to work both on own initiative and as part of a team. You need to have excellent written and verbal communication skills, strong knowledge of Microsoft Word, Excel and Outlook and this role would suit someone with an interest in working in the Arts.
