A very exciting opportunity to join a Children's Charity committed to providing world-class health and education support to those located in South Africa. Our Client has a global presence with bases in South Africa and also New York.
This role will be located within the heart of Central London and working with a small and friendly team.
Our Client is seeking a Candidate who can work as Permanent PA/ Fundraising and Events Assistant.
Salary: £19,500-£23,500 pa
Standard hours: 9am-6pm Mon-Fri
The ideal Candidate will be an enthusiastic and talented individual with the ability to provide strong administrative and PA support to the UK Director to assist in maintaining existing major supporters, securing new donors, and increasing the Charity fundraising revenue and profile within the UK.
This is an excellent opportunity for an individual to make a positive contribution to Charity's work in South Africa and the field of international development, be directly involved with the Charity fundraising gala and other events, and expand upon their own experience in fundraising and administration.
Essential duties include, but not limited to:
- General Office and Team Support
- Management of the calendar, schedule meetings both internally and externally, and organise the workload of the UK Director
- Prepare all necessary agendas or documents; take minutes during meetings and administer follow-up steps
- Prepare emails, documents, donor-specific materials and updates to enable the UK Director to develop their relationship with existing and new supporters (both individuals and corporate) and ultimately increase income
- Identify and research new prospects - individuals, grant-making bodies and corporate partners
- Develop and evaluate major donor strategies for new and existing supporters
- Compile and manage prospects lists and tracking
- Assistance in the solicitation of auction prizes and event sponsorship, tracking of prizes and all relevant information, and creation of prize itineraries
- Create and chase invoices for donor pledges when instructed
- Maintain and manage guest-lists for the Charity events
- Update team about income received (in office, online and through bank) and manage UK banking needs, where appropriate
- Administer donor follow-up steps
- Organise logistics, agenda and materials for external meetings with key supporters and stakeholders
- Maintain client relationship management tool
- On-site support at Charity's events (for example: assist with guest check-in; liaise with suppliers on-site; assist with the pledge and auction moments; help manage the finance desk)
- Assist with the Charity's school and outreach fundraising activities
- Events-related research projects when instructed
- Assist with database entry, income tracking administration, payment acknowledgement and processing, gift aid claims and filing, on an as needed basis
- Assist colleagues in the coordination and implementation of electronic and hard copy mail-outs
- Update the UK team with regular programme updates from South Africa
- Other administrative duties and projects, as assigned by the UK Director
Ideal Candidate
The ideal candidate will have experience in administration and fundraising (paid or voluntary), excellent writing skills and be efficient, organised, detailed-oriented, proactive, able to multi-task and problem-solve, positive and competent working both in an independent and collaborative manner.
The following skills required for the role:
- Undergraduate degree or equivalent
- At least 6months- 1 year experience working in administration or PA responsibilities, and/or in a fast-paced environment
- Knowledge of fundraising, ideally major donors - not essential
- Exceptional organisational, multi-tasking and time management skills; ability to complete tasks efficiently
- Thorough attention to detail and research skills
- Proactive approach; ability to identify and take charge of tasks
- Passion for fundraising (both event and non-event led)
- Excellent written, verbal and interpersonal communication skills, including excellent writing skills and experience taking meeting minutes
- Capacity to work under pressure and to meet deadlines
- Ability to handle confidential information and projects with professionalism and discretion
- Self-motivated, highly enthusiastic, and willingness to go the extra mile
- Positive, can-do attitude
- Adaptability and flexibility
- Knowledge of the UK and international charity / development sector would be beneficial
- Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Not essential but advantageous: experience with a database or client relationship management tool
