Personal Assistant

A well established investment bank with impressive offices in the City are seeking a full time PA to provide support to a very busy team in the Finance division. This is a highly demanding role that requires a highly proactive, motivated and organised individual who is able to multitask, prioritise effectively and demonstrate excellent time management. This is an excellent opportunity for a professional, quietly confident, calm PA who can liaise with senior stakeholders managing complex diaries, but likewise happy to step in and help out with the smaller things like processing expenses. This role involves a lot of diary management, as well as helping the team on lower level matters.

Utilising your extensive knowledge of MS Office, including Outlook, Word, Powerpoint and Excel and ability to multi-task you will support your team with full PA duties, being able to remain unflappable having a good attention to detail demonstrating strong administration support to your team.

This position will appeal to a certain individual who is looking for a busy role and a diverse culture having preferably previous demonstrable Assistant experience and a calm, professional attitude who is a team player.

Skills:

Comprehensive and pro-active diary management and scheduling of meetings.

  • Exercise discretion in dealing with highly sensitive and confidential information.
  • Preparation of detailed travel schedules and itineraries
  • Assistance with visa requirements
  • Extensive telephone duties - interaction with senior GS management, screening of calls and requests for meetings
  • Timely administration of expenses
  • Assist visiting MDs - assisting with diary management, arranging offices, transportation, access to buildings and team events if required
  • Log MDs weekly time on in-house system
  • Entering MDs whereabouts and vacation details using in-house system
  • Coordination of Town halls, if required
  • Assist with IT issues and ad-hoc queries
  • Ability to be proactive, use initiative, prioritise and multi-task
  • Strong time management and prioritisation skills
  • Strong secretarial background preferably within the financial services industry supporting senior /board level management
  • Excellent attention to detail
  • Excellent teamwork skills
  • Professional, articulate and polished
  • High level of written and excellent verbal communication skills
  • Ability to handle sensitive and confidential information
  • Strong organisational and interpersonal skills
