Description

Key Responsibilities

  • Switchboard Management
  • Answering calls & redirecting calls
  • Reporting switchboard faults/issues
  • Meeting and greeting visitors
  • First point of contact for visitor issues/queries
  • Ensure that visitors have the relevant security access (if required)
  • Booking taxi's if required and as requested
  • Management of in-house parking management system
  • Answering queries related to parking
  • Booking visitor parking (where applicable)
  • Responsible for managing escalating parking Management App technical issues to the support team
  • Management of daily incoming & outgoing mail
  • Management of pigeon holes related to all homeworkers
  • Management of couriers (incoming mail)
  • Management of the franking machine (ensuring sufficient stationery is available)
  • Parcel management - ensuring that individuals collect parcels in line with the policy guidance
  • Ensure sufficient visitor passes are available at all times
  • Deactivation of lost/ stolen and cards not returned
  • Management of the petty cash system
  • Maintain a professional, and presentable reception environment throughout the day
  • Responsibility for ensuring visitors adhere to the Health & Safety guidance
  • First point of contact for first aid and fire safety emergencies
  • Daily review of meeting rooms and communication with the Facilities Team
  • Manage all general and business stationery (business cards, letterhead & printed envelopes)
  • Ad hoc project work as requested by the Facilities Manager
  • Any other reasonable additional duties that may be required from time to time

Profile

  • MS Office proficient
  • Excellent communication skills, both written and verbal
  • Strong interpersonal skills
  • Proven successful multi-tasker and problem solver
  • Proactively takes initiative, bold steps and measured risks while accepting responsibility for decisions and actions
  • Good solid understanding of the facilities department
  • A team player
  • Professional and immaculate in presentation

Job Offer

  • 13 month fixed term contract.
  • Bonus 5% on completion of contract and achieving personal objectives
  • Holidays - 25 days
