Our client is a rapidly growing London Insurance Broker, they operate on an international scale with clients in over 100 countries and have an reputation for excellence. The is a fantastic opportunity to join their vibrant and down to earth team.


THE ROLE:

PA to Finance Director
  • Diary management – proactively looking at diary and working with the Finance Director to manage time and booking meeting rooms
  • Travel - arranging visits to other offices and external meetings including overseas
  • Meetings - managing meeting schedule and assisting with meeting materials and presentations
  • Answer and filter calls on behalf of the Finance Director taking accurate messages and action where appropriate
  • Expense submission
  • General typing – letters, Excel documents, PowerPoint presentations, etc.
Reception Responsibilities
  • Switchboard management and prompt answering of incoming calls
  • Greeting and assisting guests at reception
Meeting Room Management
  • Setting up meeting rooms with refreshments and presentation materials
  • Keeping an up-to-date outlook calendar and coordinating the meeting room schedule advising staff of any changes promptly
  • Ordering lunches, setting up and clearing lunches in the meeting room
Ad Hoc Duties
  • General office maintenance, ensuring the lights are working, toilets stocked with roll and soap etc.
  • Arranging for laundry to be collected
 

THE PERSON:
  • Proven experience in a similar role within a corporate organisation
  • Excellent customer service skills
  • Ability to work autonomously with minimal supervision and guidance
  • Confident and able to act on own initiative
  • Hardworking, results oriented and focused
  • Proficient in Excel, Word and Power Point
  • Good organisational and prioritising skills
  • Attention to detail
  • Good telephone manner and ability to deal with colleagues of all levels
  • Excellent written and verbal communication skills
