Our client, a private fund management firm are looking for a part-time office manager, EA and company secretary to assist in establishing a London based office. This is an opportunity for someone who is looking to get involved in a business partner role within a start-up environment. You will be responsible for ensuring the smooth-running of the London office and dealing with the client's affairs in a professional, confidential and discrete manner. You will also need essential experience in a Company Secretarial role and off-shore trust structures to be successful in this role.

Office Manager Duties:

  • Screening phone calls
  • Managing the initial set-up and subsequent smooth running of the office
  • Setting-up and maintaining an orderly filing system
  • Meeting and greeting visitors to the office
  • Liaising with property managers, assisting with tenant enquiries, raising invoices and following up on receipts and payments for the property portfolio
  • Maintaining and developing IT including hardware, software, internet and security
  • Processing invoices, managing reconciliations and processing expense claims and payroll
  • Collaborating with external bookkeeper and accountants as required
  • Negotiating and ensuring the continuity of service in relation to utility, telephone and internet accounts
  • Maintaining and renewing insurance covers
  • Administration of banking transactions

EA Duties:

  • Diary management
  • Coordinating calendar appointments and meetings
  • Assisting with planning and execution and hosted events and social functions
  • Liaising with the office and private home
  • Booking travel
  • Researching projects as required
  • Tracking project expenses
  • Liaising with bankers regarding money market deposits, roll-overs and transfers
  • Ensuring funds are realised on a timely basis

Key Competencies:

  • Discretion and respect for the requirements of privacy and confidentiality
  • Flexible, hands-on, capable of multitasking with a 'can-do' attitude
  • Able to meet tight timeframes, working with remote management and minimal supervision including when under pressure
  • Proficiency in MS office systems; willingness to adapt to and become proficient in new generation IT solutions for business
  • Good written and verbal communication capabilities
