Our client, a boutique Investment firm requires a confident and capable Office Administrator/ Junior PA to support a small team. You will have experience handling HNWI clients in a SME professional service environment. This person will also be responsible for FOH meet and greet, general housekeeping etc so will need a flexible attitude.

Reporting to the Office Manager – duties will include:

  • Receiving and transferring calls, taking messages and passing on messages via email – good clear telephone voice would be ideal
  • Managing the booking of meeting rooms and updating calendars accordingly
  • Setting up for meetings and providing refreshments when required
  • Meet and greet visitors to the office and informing the relevant staff of their arrival
  • Ensure basement/ first and second floor kitchens are well stocked
  • Dealing with incoming and outgoing post
  • Arranging BT Conference Calls
  • Ordering stationery and other office items as and when required
  • Filing for the CEO as and when required
  • Photocopying and binding documents as and when required
  • Occasional running errands – i.e. post office / office supplies
  • Buying coffee and lunch for the CEO on a daily basis
  • Audio / copy typing – correspondence – must be at least 50 WPM accurate
  • Assisting with Fire Alarm testing each weekly
  • Assisting Office Manager with Ad-hoc office management duties
  • General book keeping duties – i.e. processing invoices / expenses  / updating of in-house spreadsheets and other accounting duties – advance excel would be ideal
  • Dealing with couriers for national and international business
  • Maintenance of the Basement flat – making sure flat is clean and tidy

Personal Attributes:

  • Confident
  • A good mature attitude
  • Computer literature – i.e. proficient on word/excel/powerpoint
  • Able to prioritise the work efficiently
  • Self-motivated

Hours of work – 8:30-5:30am

This role is to start asap so you will be available immediately or on a weeks notice.
