The role (in brief)

It’s a classic PA role for our Partners.

They are all pretty busy and that’s not likely to change. So you will need to be capable and calm under pressure. (It’s the good ‘in it together’ kind of pressure and not the shouty, stressful kind.)

Diary management is a key part of the role. You will need to make a call on what goes into diaries, what can be moved and what is physically possible in any given day. You will need to demonstrate your desire and ability to get to know who is who, and more importantly, how to handle them with confidence and grace.

Correspondence and helping them to prioritise effectively is the next big job. Your attention to detail and ability to prioritise, edit and communicate effectively will be what we’re looking for.

As our business grows so do the demands to be in three places at once. Organising travel plans, setting up meetings and calls across time zones will be part of your day to day.

Having given this a lot of thought, we are all agreed that you should have experience in a professional services business, preferably an Executive Search firm. There are specifics to our business and how it works, we’re looking for someone who already knows what they are.

Partner PA (the specifics)

Providing executive secretarial support to a group of Partners.  Ensuring that the service levels that underpin the firm’s commitment to our customers is mirrored in the delivery of exceptional service.

Diary Management
Maintains diaries on a daily basis and will look ahead to check all required resources are booked and that there is visibility of relevant data on diary entries.

Arranges and co-ordinates meetings both face to face and virtual, liaises with customers and candidates

Organises travel both domestic and international, books meeting rooms etc.

Ensures that sufficient time is allotted for travel when processing meeting requests.

Always aware of Partners whereabouts and able to advise in this regard as required.

Data management
Consistently produces work of a high standard that rarely requires correction and has a reputation for delivering quality work.

Understands the brand and produces appropriate customer documentation

Ensure the integrity of data – updating Invenias with relevant candidate information and Partner driven events.

Updates Sharepoint and ensures effective knowledge sharing

Relationship management
Ensures world class service delivery to both customers and candidates – supporting Partners in building relationships

Key contact internally for Partner teams and finance dept.

Plus general administrative support – expenses etc.

Requirements:

  • Adept at managing multiple tasks whilst keeping track of own workload using a ‘to do list or similar. Will deal with competing requests in a confident and mature manner, weighing up urgency and deadlines to decide on priorities.
  • When faced with a new challenge will use initiative to work out the best way to do it, referring to colleagues to identify efficient solutions.
  • Has a flexible approach and is adaptable. Is a team player willing to make a contribution to the wider team. Mutually supportive of others and willing to help in different departments as required.
  • Is receptive to new ideas and remains focused during times of change and promotes change amongst team by own behaviour.
  • Presents a professional appearance and attitude at all times, as may be required to meet and greet customers.
  • Discreet when handling confidential information.
  • Is confident with communication. Recognises that different people require different approaches and adjusts style appropriately.
  • Previous experience of providing secretarial services
  • Intermediate/Advanced Word, Excel, PowerPoint and Outlook
  • Strong command of spelling, punctuation and grammar
