New role! Exciting and varied opportunity reporting to the CEO of this international bank based in the West End. Providing extensive support across several departments you will be a pivotal part of the company. You will also have a real opportunity to grow and have an impact on potential improvements to practices and procedures.

Duties:

  • Assistance to Sales and Marketing and Product Development teams including, diary management, meeting coordination, task management, e-mail management, arranging travel (inc. visas), expenses management
  • Ad-hoc assistance to the Group CEO when he attends the London office
  • Draft and prepare documentation for meetings
  • Produce and amend documents / presentations as required
  • Assist Sales and Marketing team with the upkeep of DDQs (Due Diligence Questionnaires)
  • Gather and collate the data for the monthly dashboard presented to Senior Management – working collaboratively with Portfolio, Performance & Control, Sales and Marketing and Finance teams.
  • Assist with the creation of presentations and documents  
  • Coordinate stakeholder workshops, collate the input and support the Sales and Marketing team with the 3rd party system re-structuring project
  • Arrange meetings, lunches, presentations, travel and any off-site requirements
  • Distribution of online research and publications when necessary
  • Coordinate all PR communications with Sales and Marketing team and the Head Office
  • Coordinate and organise corporate / team building events, working collaboratively with Sports and Social Committee
  • Provide cover for either or both the COO and CFO Executive Assistants as and when necessary
  • Other duties as required

Requirements

  • Experience providing support at senior level within a financial service environment
  • Ideally a professional PA qualification  / Degree calibre 
  • Minimum of 5 years in an administrative support role and 2 years in a direct support role to senior management
  • Extensive experience in arranging complex international travel itineraries
  • Strong attention to detail 
  • Advanced knowledge of Microsoft Word, PowerPoint and Excel 
  • Ability to take minutes/notes of meetings 
  • Good interpersonal skills both in person and on telephone
  • Ability to multi-task working to tight deadlines 
  • Experience working in a high delivery client facing commercial environment is preferred
  • Highly motivated / a self-starter / proactive and flexible
  • Ability to work for, and adapt to, more than one manager
