This role is the key support to the Founder & CEO and newly appointed Managing Director.
The Executive Assistant will work closely to enhance the Executives effectiveness by providing strong day-to-day management support. General administrative duties will include, but are not limited to, scheduling meetings, document drafting and review, and maintaining complex filing systems and databases. As EA to the CEO & MD the role will at times involve high-end or complex duties, therefore confidence and discretion is key.

Key Responsibilities:

  • Provide day-to-day administrative support, most often from different country and time zone, including but not limited to:
  • Extensive diary management: Coordinate a variety of internal and external meetings, across multiple time zones, and liaising with other assistants, internal employees and/or third parties
  • Updating CEO & MD about appointments, events and general updates on various client and international industry news
  • Coordination of all business travel arrangements with travel booker in accordance with CEO & MD schedule
  • Maintain CEO & MD business & personal database
  • Prioritise and manage multiple projects simultaneously, and follow through on issues in a timely manner

Key Attributes:

  • 5 years minimum experience in a senior level Executive Assistant role
  • Agency Experience within Media / Communications is an advantage
  • Advanced knowledge of Microsoft Office (Outlook, Word, PowerPoint and Excel)
  • Strong attention to detail on all aspects of the job
  •  Excellent time management skills / efficienc
  • Strong work ethic and ability to take proactive ownership of assigned duties. Proven work ethic with the ability to multitask in a fast paced environment
  • Additional languages German and /or Italian are an advantage
