A leading financial institution requires an experienced secretary to support a Head of Division and team

Key Responsibilities

  • Effective diary management, preparing and bringing forward meeting papers, ensuring that their diary runs smoothly in order to maximise their time and ensure that any diary clashes or last minute changes are brought to their attention.
  • Working closely with the Senior PA to provide effective diary support for the management team and cover to the Senior PA when they are on leave.
  • Providing support to the division and contributing effectively to the key work of the division.
  • Actively seeking opportunities to learn more about company-wide processes that affect the division and provide assistance and training when necessary.
  • Working with the divisional support team to help deliver logistical arrangements for meetings as well as extensive liaison with external counterparts.
  • Contributing to filing and making sure that meeting inputs and outputs adhere to the company's document management policies.
  • Arranging domestic and foreign travel adhering to the Bank's guidelines and completing relevant expenses forms on their return in a timely manner.
  • Being an active and collaborative member of the team and contribute to meetings.

Skills and Experience

  • Proven secretarial and administrative skills;
  • Strong communication skills to be able to liaise effectively with all levels of staff, including regular contact with senior/executive offices both inside and outside of the company;
  • Enthusiasm, reliability and flexibility and willingness to take on new challenges;
  • Organisational, prioritisation and time management skills, with the ability to work well in a structured way to a high standard against tight deadlines.
  • Excellent workload management and the ability to work to tight deadlines using own initiative. The role has a heavy workload during the round, with the hours sometimes unpredictable, and the job holder is required to be very flexible;
  • A proactive self-starter who can work under their own initiative with limited guidance;
  • The ability to handle sensitive and confidential material, maintaining a high level of discretion and professionalism;
  • Excellent IT skills with confidence in using Outlook, Word, PowerPoint, Filesite and Collaborate;
  • A high level of accuracy and attention to detail.
