THE ROLE:


Main Responsibilities
  • To act at as Receptionist & First Line Host in the Management Suite Reception Area and with forging relationships with tenants and contractors. (Including vetting and screening of calls and visitors).
  • To provide Administrative, Receptionist and Secretarial support to the Centre Manager & Deputy Manager. (Including but not limited to managing the reception area and vetting calls and visitors, drafting of correspondence and collating and presenting data for Client reports and records, photocopying, filing ,organising staff meetings and ensuring all all IT and communications equipment is maintained and services and in good order and to offer and provide refreshments when needed.)
  • To co-ordinate and circulate the Weekly site diary and minutes.
  • To book and track concessions and events; liaising with the concessions booking company to manage the diary and income stream.
  • To maintain and carry out stock checks to ensure adequate levels of all office supplies.
  • To be The Centre’s Database Manager keeping the following files and folders up to date:
  • Tenant List (Update contacts regularly)
  • Tenant Handbook (Review and update and circulate to tenants)
  • Health and Safety Management System – (Monitor and send reminders for actions due)
  • To maintain Accounts and track Purchase Orders to completion of works / payment.
  • To code-up incoming invoices for the Centre Manager’s signature and keep the necessary service charge records on a tracker.
  • To book and co-ordinate Health and Safety tenant inspections to ensure compliance with annual site inspection requirement by Centre & Deputy Manager.
  • To assist the Centre Manager in the banking processes, paying particular attention to processing and closing down insurance claims.
  • To assist in the running the petty cash account and manage it as an imprest account.
  • To take pride in the Reception area so that it provides a tidy and welcoming area for visitors and guests, liaising with the Deputy Centre Manager should the cleaning standards fall below an acceptable level.
  • To attend training and development courses as and when identified or necessary.
  • Any other duties that may be required in order to fulfil and satisfy the requirements of the Management team.     
 


THE PERSON:


 


·         Excellent secretarial skills, attention to detail and accuracy


·         Excellent communication and interpersonal skills


·         Good presentation and friendly helpful attitude


·         Awareness and appreciation of customer care


·         Computer literacy (All Microsoft Office packages)


·         Can work unsupervised but also work well as a team member


·         Accounting skills – familiar with invoicing & credits and budget reporting
