Overview

A high profile luxury Architectural Interior Design studio of 50 in Fulham, delivering world class projects across the Retail, Hospitality, F&B and Residential sectors, is seeking a sophisticated approach to a busy Front of House. This role needs to ensure the delivery of consistent high service levels across the company internally and externally, effective process lead management to ensure a smooth running of the Studio. This role would be well placed with someone who has worked in hospitality/hotels and has clear communication, aptitude for flexibility and who has worked at the same level in a similar role and appreciates the values of a luxury brand.

Key Duties:

  • Ensure that all telephone calls are made, received and dealt with in a timely and professional manner
  • Ensure that additional cover is in place during busier times of day/month/year and that all employees are aware of systems that are in place
  • Administration
  • Be very clear on New Client Business Process; (ie: booking of cars, taxis, service of refreshments, tea, coffee, appearance of meeting room, speed of service etc)
  • Check that supplies are stocked properly, replenishing where necessary and order if low (stationery, copiers, paper, water coolers, light bulbs etc)
  • Distribute incoming post and take outgoing post to post office
  • Manage database and ensure all contacts are updated regularly
  • Co-ordinate and administer courier deliveries
  • Book Staff/Client travel as needed
  • In-House Client Servicing
  • Meet and greet clients and visitors dealing with their requests in a professional and approachable manner
  • Ensure all communal areas are kept tidy and presentable at all times
  • Ensure that the meeting areas are prepared both before and after all meetings, liaising with the cleaning company on areas that need special attention
  • Ensure that all refreshments (teas, coffees, light lunches) are prepared and delivered to meetings in a manner that meets our expected level of client service
  • Facilities Daily
  • Ensure that the building is opened up each morning at 8.30am
  • Make sure communal areas are ready for the day's use
  • Co-ordinate storage facilities; arranging collection and delivery of goods as required
  • Oversee the studio cleaning and that front of house standards are maintained
  • Maintenance of the various record systems for our off-site storage facilities
  • Facilities (Office Management Assistance)
  • Assist the Office Manager in effective use of existing space and help co-ordinate any internal moves and
