Are you looking for an all encompassing Personal Assistant role ? Our client is seeking a Personal Assistant to join their company in the West End to support their 3 Founding Partners but also to support the rest of the team with all round administrative and office support duties.

An award-winning health care consultancy/communications business based in the West End of London are looking for a Personal Assistant to join their business.

Description

Role and responsibilities

The successful candidate will:

  • Manage the diaries of the Founding Partners proactively (and with minimal recourse to the founding partners)
    • Organise internal and external meetings (including in different time zones)

    • Ensure the office and two client meeting rooms are well presented and that the meeting rooms are prepared appropriately

    • Liaise with clients to a high standard of professionalism

    • Meet and greet visitors at all levels of seniority

    • Communicate clearly (and to a high grammatical standard, with respect to emails and written correspondence)

    • Arrange domestic and international travel, visas and accommodation for the founding partners and other members of the team

    • Prepare travel itineraries and meeting agendas

    • Screen phone calls, enquiries and requests and handle them when appropriate

    • Identify and book appropriate venues for client lunches and dinners

    • Liaise with recruiters, organise interviews with potential candidates and record progress

    • Contribute to the efficient, effective and economic running of the office

    • Undertake administrative tasks as required (printing / scanning etc)

    • Organise the purchase of office supplies

    • Maintain a database of relevant Incisive Health contacts

    Financial and HR support

    The successful candidate will:

    • Support the Office and Operations Manager in the processing of tax returns and invoices

    • Undertake expense reconciliations

    • Record and organise staff / manager monthly meetings

    • Liaise with IT support to address IT issues

    • Organise starter packs and set ups for new joiners

    Event organisation

    The successful candidate will at times be required to:

    • Source venues for Incisive Health and client events

    • Organise catering for meetings if required

    • Take the lead on inviting attendees to events and recording RSVPs

    Profile

    The successful candidate will ideally possess:

    • Strong literacy and numeracy skills
    • PA/EA skills including strong diary management and organisational skills
    • Strong IT skills
    • Attention to detail
    • Strong interpersonal skills

    The candidate will be:

    • Proactive
    • Honest
    • Discreet
    • Able to work under pressure
