Stunning US law firm, a stone’s throw from both Liverpool Street and Fenchurch Street is looking to hire an interim Guest Services Supervisor to cover an initial 9 to 12 month fixed term contract.   The Guest Services Supervisor is responsible for managing the reception and Front of House areas providing an efficient, client focused and professional service to partners, staff and clients with standard hours for this role 9am to 6pm.  Duties will include to proactively oversee the smooth running of the reception team, ensuring that the services provided, are professionally and consistently delivered: including but not limited to meeting room reservations, client reception and meeting room services, catering, switchboard, taxi and car bookings, to understand the workloads at reception and to be hands-on, assisting reception staff throughout the day. providing the support to enable reception services to ‘go the extra mile’ for clients, to oversee the meeting room catering, ensuring standards and service delivery meet expectations, to be a one point of contact for major meetings and events, both in the preparation planning and overseeing the event on the day. Proactively co-coordinating with the host and relevant departments to ensure services are provided - On the day to ‘host’ the event, providing continued support to the meeting ensuring services run smoothly and last minute changes accommodated plus to liaise with internal departments and external suppliers to ensure that services provided to support meeting rooms are delivered to an exceptionally high, yet cost effective standard (including departments such as Facilities, IT, Reprographics and catering).   On the management/supervisory side you will be asked to process the recharging of catering, ensuring that accurate billing reports are promptly posted, to manage the Seamless Web account, ensuring policies are adhered to by users and profiles updated, to liaise with the Secretarial Services Manager and Evening Secretarial Coordinator to ensure secretarial support is provided to visitors when requested and that out of hours reception cover is a seamless transition, to prepare monthly statistics and reports for the Operations department, to assist in the preparation of budgets, and to regularly review actual vs budget.   Applicants with experience of working in a hotel is desirable, previous corporate experience in either Front of House, catering or reception is desirable however supervisory experience is essential.
