THE COMPANY:


 


Our client, based in the City, is a global Architects who are looking a Receptionist to be responsible for Front of House and Administration.   


 


 


THE ROLE:


 


JOB PURPOSE


 
  • To represent the company in a professional manner as the face of the company. To meet and greet visitors and to be the gatekeeper for incoming calls.
  • To provide support to the administration team and PA support to one of the external consultants.
  • To play an active role within the Internal Communications team in the London office.
  • To be involved in the coordination and recording of project reviews
 


MAJOR TASKS


 

Reception


-    Switchboard responsibilities
  • Answers incoming calls in a timely and professional manner transferring and relaying messages as required
  • Be a gatekeeper for sales calls
-    Front of house responsibilities
  • Be the face of the company
  • Greet visitors, politely on arrival, following the appropriate sign in procedure
-    Other
  • Ensure the reception area is tidy and presentable for external visitors at all times
  • Manage incoming and outgoing post and deliveries
  • Responsible for reception rota required for annual leave and out of office hours
  • Personal timesheets completed on time each week
 


Office Administration;


-        Booking & coordinating couriers and deliveries


-        Responsible for office consumables, catering and stationary
  • Place orders
  • conduct stock checks
  • monitor prices and cost saving potentials
-        Organise meetings, and room bookings


 


Administration team support


-        Arrange travel and organise suitable accommodation for staff visiting from global offices and for London departmental staff


-        Adding and editing contacts on workspace


-        Support office archiving, including the retrieval and collection of documents and updating the records
