Team Assistant/Events Organiser

 

A City based financial services company are currently recruiting for an enthusiastic and driven candidate to join our growing team.  The successful candidate will be confident and outgoing with a drive to take on additional challenges, responsibilities and grow with the company. The company is young and vibrant and highly values its staff and is looking for an enthusiastic candidate who will be able to mould the job to their personality and skill set.
   
The roll is varied and encompasses elements of Office Management, Team assistant, Receptionist and Events organiser.  Specifically the role involves acting as team assistant to the sales team including proactive management of diaries, travel coordination, coordination of client and other marketing events, and other project assistance.

Team Assistant duties:

  • Answering and transferring phone calls including acting as gatekeeper
  • Ordering stationery and supplies, as well as the office food/drinks
  • Organising appointments, meetings and conference calls
  • Booking teams travel arrangements which can be complex
  • Preparing presentations including organising printing and binding
  • Other general office duties including greeting guests, dealing with post and so on.

Events Organiser Duties:

  • Event and roadshow organisation
  • Logistics for events e.g. book travel. accommodation, venues and catering
  • Control giveaways for events, managing both stock and costs of items
  • Organising orders with suppliers and providing delegate lists for them as required
  • Organising facilities with venues such as banners, logos, audio visual capabilities etc
  • Dealing with any last minute changes in an efficient manner
  • Acting as the company's central point of contact for our events and roadshows
  • Recording costs of events into system to enable statistical reports and breakdowns following each event
  • Arranging logistics for preparation, printing and delivery of any marketing materials

As the role is fast paced and fluid it will suit an individual who excels in this environment and enjoys working under pressure.  Candidates should have a strong eye for detail, are calm and composed under pressure and have a “can do” attitude. Candidates should also have a background in financial services and in events organisation as well as strong organisational and Microsoft office skills.  The ability to speak another language would also be desirable.
