Our client, a Management Consultancy Firm based in Canary Wharf is looking for a Business Services Assistant to start ASAP. This is a temporary position with the possibility of becoming permanent.

The main duties are:

  • First point of contact for all office daily operational issues
  • Liaising with building/landlord facilities managers/loading bay
  • Responsible for all office facilities and logistics
  • Responsible for the upkeep & maintenance of Risk Assessment
  • Fire warden role / first aid role
  • Responsible for new joiners seating allocations & desk set up
  • Facilitating H&S induction for all new joiners
  • Point of contact for security/CCTV
  • Monitoring of cleaners to maintain high standard
  • Manage all consultants (and other visitor) requirements from desk allocation to IT equipment
  • Checks and updates work permits tracker for relevant staff
  • Organising desk assessments for staff
  • Ordering of business cards for new staff
  • Takes the lead on organising any Global meetings / trainings in London
  • All travel/co-ordination for Managers/team for overseas meetings/trainings
  • Takes responsibility for proactively organising all bonding events & collaborating bonding events
  • Ad hoc activities to assist the smooth running of the office
  • Attend to routine office maintenance tasks within personal competence, liaising with the landlord's staff and/or calling on outside contractors as necessary
  • Providing an excellent customer focused service
  • Evaluating external suppliers to assess cost and service levels

The successful candidate will be educated to degree level or equivalent and have a minimum of 2-4 years in a Reception/Administration role in a busy medium to large size corporate organisation. You need to have excellent communication skills, both verbal and written, be professionally presented, have excellent customer service skills, proactive and naturally positive and motivated. You need to have strong attention to detail, able to use your own initiative, team player and able to work autonomously. You need to be highly flexible, ability to prioritise and organise and have excellent knowledge of all Microsoft packages. Languages (Spanish, French, German) is desirable but not essential.
