First class Executive Assistant required for a well-known and respected international consulting business in professional services/consulting with a fantastic culture.  It represents an exciting opportunity for a bright and career driven EA to step up and look after senior executives. 

You will be based in the firm’s city office supporting three MDs and the non-executive Chairman.  Although they have extremely high standards, they are all extremely affable and their PA is very much part of the team. Ideally this would suit a graduate with a minimum of 18 months’ experience who is mature beyond their years.  Candidates need to be able to build trust quickly and prioritise with excellent attention to detail.

Key Tasks and Responsibilities:

  • Reporting to the Head of Administration whilst providing full PA support to several Managing Directors and also the company Chairman including;
    • Diary and itinerary management using Microsoft Outlook and Word.
    • Co-ordination of travel arrangements including booking flights, hotels and transfers.
    • Arranging a variety of internal and external meetings, which will include communicating directly with clients, organizing venues and any other additional requirements as requested.
    • Creating and amending PowerPoint presentations for internal and external meetings.
    • Creating and amending correspondence using Word.
    • Creating and amending spreadsheets using Excel.
    • Co-ordination and monitoring closely certain projects with the team leaders.
    • Processing of multiple expense accounts/reconciliation of credit cards.
  • Providing administrative support to the wider Investigations and Disputes Practice:
    • Co-ordination of travel arrangements.
    • Organising visa requirements as necessary for foreign travel.
    • Assisting with printing, copying, scanning, binding and couriering of documents.
    • Compilation, reconciliation and timely submission of expenses, invoices and timesheets.
    • Sorting mail for the team and Managing Directors.  Responding to mail and invitations as appropriate.
    • Supporting case work administration, including opening cases on Kroll’s internal system, running conflict checks and billing time for Kroll’s Managing Directors and the team as appropriate.
  • Supporting the wider administrative team within London:
    • Supporting the EMEA Office Managers as and when required.
    • Processing and logging invoices. 
    • Providing support as needed to the Head of Administration
