THE COMPANY:
Our client: A world leading Investment Firm based in the heart of the City is looking for a professional corporate Receptionist.
THE ROLE:
Core Responsibilities:
- Meet and greet visitors, sign them in and out and offer tea/coffee or water to clients while they are waiting or in the meeting rooms
- Ensure external client areas are tidy at all times: i.e. blinds, newspapers, meeting rooms etc
- Liaise with different departments: i.e. security, messengers, catering, audio visual, PA’s, cleaners, tenants and other offices
- Booking meeting requirements: i.e. AV equipment, beverages, flipchart, screen, catering etc
- Book and re-organise meetings
- Help with ad-hoc overflow office work
- Taking accurate messages for different departments
- Helping out with events i.e. registration desk, cloakroom and lift duties
- Continually monitor reception inbox ensuring emails are responded to in a timely manner
Additional Responsibilities:
- Check invoices
- Booking taxis and occasional couriers
- Sign and record for any hand delivered post and storage for bags
- Monitor refreshment stock levels and ensure timely restocking
- Provide cover on other reception floors
- Printing visitor badges
- Any changes or reasonable additional tasks to the above
- Monthly reports
- Involvement in reception projects
THE PERSON:
- Experience in a high standard customer service environment
- Reliable
- Articulate, with pleasant telephone manner
- Professional manner and appearance
- Previous strong organisational experience
- Good communication skills
- Confident team player
- Strong attention to detail and ability to multitask
- Able to use initiative and work with little guidance
- Due to exposure to highly confidential information, confidentiality and discretion is of the upmost importance.
- Customer Focus: Ability to understand the needs of the client and provide customer service and superior client service.
- Relationship Management and communication: Ability to create and maintain strong relationships and channels of communication with key interfaces and the business.
- Problem Solving and Decision making: Ability to identify, analyse problems and engage in problem solving and decision making.
- IT Knowledge: Knowledge of MS Office, Hospitality Suites and ability to deal with A/V equipment
- Administrative Skills: Ability to multitask, prioritise workload and provide administrative services with an attention to detail.
