Due to continued growth, one of our most prestigious clients based in the West End, is looking for an Executive Assistant to join their administration team and support the Head of Business Development as well as one of his Direct Reports.
The client is looking for a motivated individual with EA experience, ideally from within the financial services sector or other similar corporate environment. The successful applicant will be responsible for managing diaries and travel arrangements, organizing internal and external meetings, communicating with suppliers and clients, and supporting the smooth running of the office. This is a fantastic opportunity for someone with 3 - 7 years Personal Assistant experience to further develop their skills in a challenging and rewarding environment.
Duties include;
- Manage international and domestic travel arrangements including flights, visas, hotels, transfers, trains, meals, and collate travel itineraries.
- Manage diaries including meetings, conferences and video conferences.
- Co-ordinate internal and external meetings with business partners and clients.
- Assist with the preparation of meeting materials and other documents.
- Enter contact information in the CRM system.
- Generate complex expense and claim form submissions.
- Assist with general admin including photocopying, printing, scanning, typing, couriers and post.
- Work closely with the admin team on ad hoc projects and the overall smooth running of the office.
- Foster company culture, and develop creative ways to improve the office environment.
- Work with admin team globally to develop robust administrative processes.
Qualifications required;
- Degree of 2:1 or above
- 3+ years of previous PA/EA experience at a senior level within the financial services sector or another similar corporate background.
- Experience supporting an international team/individual and the ability to work across different time zones and with demanding travel schedules.
- Excellent diary-management skills and the ability to cope with multiple changing schedules.
- Extremely well-organised and able to multi-task, juggle workloads and meet strict deadlines.
- Confident communicator, particularly with regards to telephone and email communications at a senior level.
- Advanced knowledge of MS Word, Excel, PowerPoint and Outlook.
- Typing speed of 65+WPM.
- A strong work ethic and willingness to achieve an exceptional standard of work.
- Friendly and energetic personality who can perform under pressure and keep pace with a busy team.
- Great attention to detail.
