Head of Document Control   50k - 60k

 

Head of Document Control wanted to work for global construction company based in London. With over 500 people on site they are looking for someone to join there already established team.   If you have experienced within management in construction, engineering or architecture then this would be an excellent step in your career!

MAIN RESPONSIBILITIES

Create and set up new projects on the EDMS and provide training to all members of the workspace as required.

Create and set up new projects on Mailroom Manager. 

Update the current projects as requested. Liaise with IT when setting up Mailroom Manager and for the upkeep of the group Document Control email address for accurate EDMS notifications.

Maintain the Document Control procedures and if necessary create new ones.

Attend meetings as requested and host the monthly Document Control Meeting and approve the meeting minutes.

Provide advice at a strategic level regarding on-going improvement of the EDMS.

Must have a full understanding of Asite.

Must be well versed in all aspects of Procedures relating to Document Control within Canary Wharf Contractors.

Keep records of the Department’s absence and sick leave and carry out Return to Work Interviews.

Provide Document Control cover for any annual leave or absence.

Management of the Post Room, arranging holiday/absence cover when required.

Liaise with relevant Reprographics companies to ensure that we are getting competitive prices.

Carry out any other reasonable duties as requested by Senior Management.

PERSON SPECIFICATION

Document Control Management experience in Construction with experience of managing a Document Control team.

It is essential that the successful applicant has excellent knowledge of Asite particularly on the Administration side. Some knowledge of Hummingbird and BIW would be an advantage.

It is essential that the successful applicant is a key team player who is able to ensure a good working relationship with the rest of the project team and all levels of the organisation, on a one-to-one and group basis.

The possession of a positive and helpful attitude is essential, as is a strong customer service orientation. A patient and conscientious approach with internal and external customers must be taken at all times.

Ability to prioritise and schedule a constant work flow.

Intermediate IT skills with knowledge of Microsoft Office Packages, particularly Word and Excel. Good numeracy skills are required.

Ability to represent Document Control issues at team meetings, and promote Document Control requirements competently and with tact.

The individual should possess excellent communication skills (both verbal and written).

You must have a commitment to continuous professional development.
