Our client is a well-established investment firm based in the heart of the City, who are looking to recruit a Secretarial Manager. The successful candidate will be a strong, positive role model to others and will demonstrate leadership, initiative, enthusiasm, professionalism and a high level quality service delivery.
THE ROLE:
- Supervising a team of Secretaries
- Developing and maintaining an effective administrative assistant support structure to include best practices,
- Standard objectives, assignments, enhanced mid-year and year-end review process, absence tracking and float programme
- Coordinate the execution of administrative support standards
- Give clear guidelines to an effective career path
- Lead the development and implementation of key administrative competencies within all functions to assist with career development and year-end discussions
- Establish a comprehensive training programme for all new starters, including development, coaching, mentoring and team building events. Ensure that support staff grow in their roles and increase their overall contribution to the business
- Operate an effective networking system across the group to enhance motivation and networking within the support function
- Conduct performance evaluations and set objectives with direct and indirect reports
- Work closely with HR responsible for escalating performance issues recommending coaching or corrective action as appropriate
- Meeting department managers to review administrative support resources
- Address staffing requirements to match business demands in line
- Consider a co-ordinated job share function
- Consider the management of travel policy / accommodation, online booking / expenses
THE PERSON:
- Excellent verbal and written communication and interpersonal skills
- Organised manner with ability to prioritise workload
- Motivated and pro-active with a 'can-do' approach
- Ability to work under pressure and meet strict deadlines
- Ability to engage with and gain support from a range of levels across the firm
- Strong team player
SKILLS:
- Proven management experience of a secretarial or support team
- Proven experience of performance managing others
- Experience of managing change and implementing improvements to services
- Leadership skills with ability to motivate and engage the secretarial services teams
- Strong communication skills with proven ability to listen to the needs of a business
