We are currently recruiting for a fantastic role for an modern and innovative architecture and interior design practice in the heart of Clerkenwell. A combination of essential office support to the team and accounts administration, you will be the lynchpin in the office and relied upon by all! An essential  position, integral to the running of the office and an important part of the business.  Mainly financial support, applicants must possess experience in working with finance processes and have the skills to apply to almost all of the below; having said this, it will make up 35% on the role. The remainder of the role is far more varied supporting the team, looking after the office and being a fabulous, enthusiastic spare pair of hands. We’re looking for positive and proactive attitudes! An exciting and growing business, they are looking for someone keen to contribute to the high reputation they currently hold. The office is often very busy, followed by quiet periods – so proactive people with the ability to stand on their own two feet and make quick decisions is really important. There will be times you’ll be juggling tasks, followed by times you’ll be working on your own projects. 

Financial responsibilities:

  • Purchase ledgers (invoicing and payments)
  • Reconciliation and processing of cheque/BACS payments
  • Complying with authorisation procedures
  • Forecasting fees, erosions and costs to completion
  • Fee schedules, posting all invoices and receipts
  • Credit control/statement documentation
  • Taking care of and accounting for petty cash distribution
  • Management of accounts – accruals and prepayments
  • Depreciation schedules and maintain fixed asset schedules
  • Bi-monthly management accounts – P&L and cash flow
  • VAT returns 
  • To run monthly payroll

Other responsibilities: 

  • To provide secretarial and administrative support to the Directors and staff
  • Managing diaries, calls, post, travel and so on
  • Taking a lead role in preparation of documents, presentations, submissions etc
  • Some ad-hoc photocopying, binding, meeting room arrangements
  • Ordering office supplies like stationery, refreshments and so on
  • Occasionally looking after Reception and switchboard as and when required 
  • Training and support for all staff on practice procedures, systems and software

What are we looking for? 

  • Ideally two years of finance experience in an office
  • Software and IT savvy
  • Articulate and accurate nature
  • To be able to work autonomously and excellent as part of a team
  • Great communication skills on the phone, face to face, excellent written skills to communicate on email
  • InDesign/Union Square experience would be great but not essential
