The receptionist & Admin Assistant will be responsible for providing a comprehensive, confidential and professional support service to the Company Director in all aspects concerned with the efficient and successful operation of the office. You will also be assisting in administrative and reception tasks for the office under the direction of the Office Manager & Company Director.
Key Responsibilities:
- Internal & external diary management for the Director and office
- Liaise with clients on behalf of Company Director
- Travel arrangements for meetings
- Providing front-of-house service, acting as the face of the agency
- Preparing all meeting rooms in advance
- Assisting the Office Manager with the management of the office premises
Required Skills & Knowledge:
- Positive, confident personality and calm manner
- Good written and verbal communication skills
- Excellent telephone manner
- Good numeracy skills
- Excellent organisational and planning skills and ability to prioritise own time
- Able to work as part of the team on a regular basis
- Excellent attention to detail
- Flexibility to ensure that deadlines are met
- Being conscious of confidential and sensitive information within and outside the office
- Excellent knowledge of Microsoft Office, in particular Word, Excel and Outlook
- Some knowledge of PowerPoint, File maker desirable although not essential
- Some interest in architecture / design helpful
