PA to Head of Client Development & Business Development Director £40,000 + bens

 

Duties:

? Complex diary management, scheduling meetings in multiple time zones and effectively resolving

scheduling conflicts

? Coordinate complex travel, meeting schedules and itineraries

? Prepare, reconcile and submit travel and corporate expenses

? Work with the internal events team to organise and co-ordinate client events, lunches and dinners

? Meet and greet guests/clients in a professional manner

? Maintain relationships with internal and external stakeholders at senior level including clients and

their Personal Assistants

? Field calls and deal with enquiries that come in, in the first instance – directing as necessary? Work on presentations either independently or in conjunction with the Business Manager

? Collate and prepare documents ahead of meetings

? Prepare and distribute information packs and presentations in advance of meetings

? Provide support on technology e.g. for presentations video/tele conferencing

? Take minutes at meetings as required and following up on any necessary actions with colleagues,

either independently or in conjunction with the Business Manager

? General administration involving all Microsoft Office applications

? Provide ad hoc cover for management from overseas offices

? Fulfil any additional / ad hoc duties as required to meet the needs of the business

? Excellent organisational skills – prioritise work according to deadlines, multi-task, unsupervised

and independently

? Personable with the ability to develop strong working relationships at all levels

? Flexible approach to work - ability to adapt to a range of tasks

? Proactive and highly engaged, with the ability to work under pressure

? Excellent attention to detail, with strong communication skills

? Strong Microsoft Office skills including: Word, Excel, PowerPoint, Outlook

? High level of integrity and display values in alignment with the organisation’s principles

? Absolute discretion and confidentiality is essential

? Proactive, with willingness to take on additional responsibilities and/or new projects

? Hands-on problem solver and team player – coordinate across departments

? Confident and professional writing skills, including ability to draft correspondence on behalf of

management - knowledge of etiquette for formal correspondence

? Polished and professional telephone manner

? Must be robust and have the ability to engage with a wide range of stakeholders across cultures

and seniority

? Plenty of initiative - ability to research and find specific facts quickly

? Develop an understanding of team objectives in order to work pro-active

 

KNOWLEDGE:

• Understanding of the business, its structure, current developments and projects

• Solid understanding of a fast paced PA position

 

EXPERIENCE

• Previous PA experience, preferably within a financial services environment
