Executive Assistant to Two Directors of a Family Run Business
Kensington, Olympia
£42,000 plus benefits

Executive Personal Assistant to two Directors (Chairman and CEO) and managing an office of a family run business based in Kensington Olympia for £42,000 per annum.  Note: Candidates wishing to apply should have a minimum of 15 years experience in Assisting a High Level Executive

To manage the running of a family business, which includes overseeing a small office, managing the diaries of the Directors, the Family Foundation, Property Management, Yacht Chartering and an Investment Portfolio. The job primarily involves being a PA to the Chairman and CEO, but also includes the management of the Family Charitable foundation, some Property management, Chartering of a Private Yacht as well as Internet research and processing for Investment Portfolios. Successful candidates will have a high level of literacy and numeracy, with in-depth knowledge of MS Excel and Word, good Management and organizational skills, and with extensive experience in a similar job role.

The company’s main focus is in the Hospitality and Commercial Property Sector. The primary business is a group of Youth Hostels with 600 beds across 4 locations in Central London. The group also includes a Boutique Health Club, a private yacht as well as various properties and Investments. Started in the 1960’s by the Chairman and now run by both the Chairman and his son who is the CEO, there are 10 people working at Head Office, with a total combined staff across the entire group of approximately 80.

Successful candidates who should apply should have: 

  • A high level of numeracy and extensive experience reading and creating spreadsheets using MS Excel.
  • High level of literacy for writing letters and correspondence. 
  • Good interpersonal skills showing fact and diplomacy
  • Experience of working in a similar role in a fast paced office environment with a minimum of 20 years experience
  • Flexibility in managing conflicting workloads and adapting to different priorities as and when they arise
  • Ability to manage several tasks simultaneously
  • Excellent references from previous employer and a strong track record of permanent long term positions
  • Trustworthiness and discretion
  • Resilience, stamina and ability to remain calm when under pressure.
  • Good standards of personal presentation

The Key responsibilities are as follows:

  • To provide comprehensive assistance to the Chairman regarding personal arrangements, property management and business matters
  • To manage and maintain the appropriate systems for ensuring the smooth day-to-day running of the office including the efficient organisation of complex filing systems
  • To maintain the diaries of both Directors, organising meetings at the office and on site and accommodating any changes to the schedule
  • To co-ordinate, plan and implement the organisation of extensive overseas travel arrangements and organise Itineraries for the Directors
  • To look after meetings, greeting visitors, organising necessary briefings and paperwork and organising hospitality arrangements including providing refreshments for guests
  • To manage all incoming and outgoing post
  • To assist in financial matters where required (under the guidance of Directors, as well as Bookkeeper and Accountants)
  • To prepare Agendas, take notes and send out minutes from any meetings where required
  • To carry out Internet research and compile reports for Investments. N.B No investment decisions will need to be made, nor is investment experience required

The normal working hours required are 9am to 6pm, 5 days per week, but a flexible attitude needs to be taken. The office is based near Kensington Olympia (7 minute walk) and Hammersmith station (6 mins walk) with an annual salary of between £42,000.
