Well-established Investment firm, based in the heart of the City is looking for both a Team Secretary and a Senior PA to provide comprehensive support to Executives. These roles require excellent interpersonal and communication skills, superb time management and organisations skills and fluency in French.
Responsibilities
- Diary management
- Organising various meetings (including Board), conference calls and video-conferences
- Frequent liaison with overseas offices
- Building relationships at all levels
- Organising client hospitality – lunches & dinners etc.
- Coordinating events & offsites
- Reconciling expenses and claims promptly
- Overseas travel arrangements, preparing detailed itineraries
- Creating and amending various reports and presentations
- Gatekeeping – screening/actioning emails and calls
- Frequent client liaison
- Managing all holiday/absence records
Requirements
- Fluent French language skills
- Strong MS Office skills
- Previous secretarial/PA experience ideally gained within Banking, Financial Services or Professional Services firm
- True team player approach, happy to work closely & cover other Assistants
- Excellent interpersonal skills with the ability to liaise effectively at all levels
- Ability to maintain a high level of confidentiality at all times
- Strong organisational and time management skills
- Ability to manage and prioritise a heavy and varied workload to a high standard
- Adaptable and flexible working attitude
- Ability to work well under pressure and meet tight deadlines
- Proactive attitude
- Meticulous attention to detail
