Our client is a well-established law firm based in the Westend, who are looking to recruit a Secretarial Manager. The successful candidate will be a strong, positive role model to others and will demonstrate leadership, initiative, enthusiasm, professionalism and a high level quality service delivery.
THE ROLE:
- Management and leadership of a professional and motivated secretarial services function to ensure the delivery of a quality service to the fee earners
- Line management of the Secretarial Team Leaders, Coordinators, Administration
- Resource planning to include proactively monitoring and managing workload and ongoing secretarial and administrative needs of the business
- Lead the overall Department Secretary holiday and sickness cover requirements and process, working with the Secretarial Team Leaders to understand department needs, organising and allocating the Float Team in an agile and effective way
- Ensure that effective feedback processes are implemented and maintained and actively seek regular substantive and example based feedback from the business
- Ensure best practice and firm procedures are adopted and shared across the Secretarial Services function
- Manage relationship with appointed document production outsource provider(s) escalating any issues identified by the Coordinators and working proactively with them to ensure that the firm receives a high quality service
- Working with the Recruitment Manager, manage the recruitment needs for the function and select, test and interview candidates as appropriate
- Ensure that the teams have the necessary skills to carry out their roles, proactively working with Head of Operations and Head of Learning & Development to identify training and development needs
- Lead and deliver the annual appraisal, salary and bonus review process for the Secretarial Services function, working with HR and Head of Operations
- Identify and take ownership of performance and absence issues, escalating as appropriate to the Head of Operations and working with HR for support on employee relations, policies and procedures
- Work collaboratively and proactively with HR to address and take ownership of welfare or employee relations matters

- Excellent verbal and written communication and interpersonal skills
- Organised manner with ability to prioritise workload
- Motivated and pro-active with a 'can-do' approach
- Ability to work under pressure and meet strict deadlines
- Ability to engage with and gain support from a range of levels across the firm
- Strong team player
SKILLS:
- Proven management experience of a secretarial or support team
- Proven experience of performance managing others
- Experience of managing change and implementing improvements to services
- Leadership skills with ability to motivate and engage the secretarial services teams
- Strong communication skills with proven ability to listen to the needs of a business
