Executive Assistant to 4 MD’s and team within Restructuring for City Client £42,000 - £45,000 + bens
Responsibilities:
- Manage and prioritise information flow, i.e. Calls, contacts, emails, relaying messages swiftly
- Full planning of client events (where you are the organiser)
- Maintenance of the client database, inputting of business cards where necessary
- Liaising with serviced office company re monthly office rent and service invoices
- Ensuring recurring mentor and appraisals sessions are scheduled for the MDs
- Preparing documents for weekly Monday MD meeting, circulating any action points afterwards
- Liaising with the Marketing department to ensure all Restructuring literature and brochures are current and stocked
- Liaising with IT to ensure smooth running of systems
- Management of season tickets
- Scheduling and payment of all conference bookings and training courses for MDs
- Processing of all Companies House invoices for Restructuring
- Produce PowerPoint presentations for quarterly MD offsite meetings, taking rough notes and turning them into finished presentations within a tight deadline
- Take minutes at various meetings, and distribute in a timely manner
- Liaise with Reception to ensure that meeting rooms are booked for client and internal staff meetings
- Organise all travel for Managing Directors, ensuring details are added to Outlook and expensed accurately
- Deal with admin queries and issues on all levels, including adhoc support for wider team
- Submit expenses for those MD’s supported
- Full secretarial and EA support to the MD and team.
- Diary management
- Any other tasks deemed necessary for the efficient running of the Restructuring business
- Binding documents as and when needed
Requirements:
- Previous experience of working with senior management and taking responsibility of projects
- Advanced/Intermediate skills in Word, Excel and PowerPoint
- Highly organised with the ability to manage time and projects effectively
- High level of interpersonal skills
- Experience in similar field, i.e. Financial services or accountancy
- Ability to communicate effectively across all levels of staff
- Fast thinking, proactive and confident working unsupervised using own initiative
- Strong attention to detail and high levels of integrity
- Excellent verbal and written communication skills
Hours: 8:30am - 5:30pm Mon - Fri
