Our client a world-renowned arts organisation based in Central London requires a temporary Operations Administrator to start 9 January 2017 for 2 months.

The main duties are:

  • To process divisional expenditure and monitor management account transaction reports
  • Liaise regularly with the Finance Department to ensure invoices are processed in a timely manner
  • Work with the Operations Officer to accurately process specified divisional income to agreed procedures and timescales
  • Act as the initial Development division contact point, answering phone calls, emails and responding to requests when appropriate
  • Ordering divisional stationery and staff catalogues
  • Assist with the delivery of donor care initiatives
  • Carrying out aspects of supporter/donor care including address and other data changes in the Development database
  • Support the Head of Operations and Divisional Planning in the delivery of regular divisional staff updates and circulation of accurate exhibition schedules for the gallery
  • Organisation of regular divisional meetings including room bookings, booking of guest speakers, booking of audio-visual equipment, room set up and distribution of agendas
  • Organisation of key induction items for new starters including the production of starter packs, keeping the induction packs up to date and adding new staff members to internal mailing lists
  • To provide new starters with expenditure and commitment log training
  • Manage all filing relating to divisional expenditure
  • Undertake specific projects relating to Development Operations and general Development work, for example office reorganisations, ordering of hardware, office tidy days and updating the Development intranet site.

The successful candidate will have proven experience of working in a similar busy office environment. You need to have excellent communication skills with a good telephone manner and demonstrable ability to communicate with tact and diplomacy. You need to have excellent numeracy skills, good attention to detail, able to work as part of team and effectively with people at all levels, methodical but flexible approach to duties and the ability to act on own initiative as necessary. You need to have good writing skills, including the ability to draft letters, have excellent organisational and administrative skills, ability to prioritise effectively and meet deadlines and have a high degree of computer literacy. This role would suit someone with an interest in fundraising and/or working in an arts organisation.
