A leading London based public sector body are looking to recruit a board and committee clerk to join their organization on a temporary basis.
The purpose of this role is to support the board and committee with PA Secretarial and administrative support. The key duties of this role are:
- Design/develop manage and monitor the Board and Committee governance
- Provide secretariat support to the Board and its committees
- Liaising with Board and Committee Chairs to prepare forward programmes and plan meeting agendas
- Coordinating the preparation and circulation of reports and briefing papers within agreed timeframes
- To attend all meetings of the Board and its committees and be responsible for the preparation, distribution, and approval of draft minutes of the proceedings in accordance with agreed timescales, and to a high standard.
- Ensuring minutes are maintained and shared
- To identify, monitor and where possible follow up actions relating to the Board and its committees
- To be responsible for the safe custody of the official record of the Board’s business (including its committees) and to maintain a record of outstanding business
- Maintaining a record of when members’ terms of appointment are due for renewal or termination together with a register of interests of Board and committee members
- To maintain an attendance record of Board and Committee members
- Managing expenditures relating to the operation of the Board
- Act as first point of contact for Non-executive Directors
- Ensuring that members are kept abreast of key organisation developments
- To facilitate and participate in appropriate induction and training arrangements for new Board and committee members, and that all members are supported in identifying and participating in ongoing training
The successful candidate will have previous experience in a similar facing role, have strong communication and interpersonal skills, be highly proficient with the MS Office package, as well as be able to effectively prioritise and work at pace.
