Exciting opportunity to work in a newly establish Team Secretary role for a Private Equity firm in Mayfair. This role will be supporting 5-6 Executives and will be working closely with the wider support team. This role places emphasis on the ability to manage a heavy workload to a high standard, have confidence in expense administration and processing and excellent interpersonal skills with the ability to liaise with all levels.
Responsibilities
- Extensive Diary Management; scheduling meetings, conference calls and VCC’s, rescheduling when required
- Typing and formatting documents and presentations using Word and PowerPoint
- Complex travel arrangements including booking transport, accommodation, arranging visas and compiling itineraries
- Compiling and maintaining travel records for tax purposes
- Managing and reconciling expenses using an automated expense system
- Corporate credit card responsibilities
- Supporting other Team Secretaries and Executive Assistants when absent or have a heavy workload
- Screening and handling all internal and external calls and emails
- Any other ad hoc tasks when requested
Requirements
- Advanced knowledge of Microsoft Office, specifically outlook
- Excellent standards of spelling, grammar and numeracy
- Polite and professional telephone manner
- High degree of flexibility with an adaptable working approach
- Discretion and confidentiality is necessary
- Ability to manage and prioritise a heavy and varied workload
- Excellent interpersonal and communication skills
- Highly organised and strong time management skills
