The Company
My Client is a medium well established Chartered Surveying Company. I am looking for a board PA that has excellent organisation skills and extensive client interaction.The role is available immediately due to promotion.

Purpose

Primarily to provide PA/secretarial support role to Partner secondary role providing secretarial support to other Valuation directors.  To manage the efficient and effective administration service for the department.

 

Main Responsibilities

Secretarial Support: 

·Proof read all 1st draft documentation from remote secretaries based out of office

·To deal with private and confidential issues for Partner .

·To arrange meetings both UK and overseas, including travel and accommodation arrangements, meeting rooms.

· To arrange meetings and update diaries, both paper and electronic.

·To deal with telephone queries from internal/external clients and take messages where necessary.

· To monitor and maintain department’s holiday and sickness requests.

· To maintain expenses records

·To collate fee projections/schedules

·To be the first point of contact internally for the department, e.g. distribution of work to other secretaries, department ‘facilitator’ and to ensure smooth running of the administration services for the department.

·To ensure all standard department documents and templates are up to date and adhered to.

· To liaise and build relationships with clients and work colleagues.

· The PA will be expected to work in a flexible way and as part of a team.

· To be aware of and comply with company and statutory requirements regarding health and safety, fire and hygiene.

· To carry out any other reasonable management requests (i.e. ordering stationary, filing, answering phones, photocopying, and general office duties.)

 

Skills/Knowledge/Experience Required: 

·Excellent communication skills

·Excellent organisational skills

·Excellent time management skills

·Good written communication skills

·Must be a team player who is able to carry out instructions

·Must be able to work on own initiative

·Able to work under pressure and to tight deadlines

·Must be proactive and posses a flexible attitude to the work load

·Intermediate/advanced knowledge of Microsoft Office products
