A successful executive search firm specialising in Strategy with offices in London and New York who provide both permanent and independent consulting services across a variety of industries.  Due to continued success and growth we are looking for an Office Manager & PA to join our dynamic team, reporting into the Head of Operations. 

Who you are:

An extremely organised, hard-working and intelligent individual with previous experience in a PA or EA position. You must be focused and driven to provide top level assistance to the CEO as well as offering support to other members of the Senior Management Team. Previous experience in a fast-paced environment is essential.

You will have excellent people skills and the gravitas to deal with multiple tasks and different personalities whilst remaining calm and ensuring your tasks are completed efficiently and to a high standard.

The role:

The purpose of this roles is threefold, 1) as Office Manager and PA to ensure the smooth running of the office on a day-to-day basis and to provide administrative support to the Directors, 2) Offering administrative support to the Finance Manager and 3) Supporting the Head of Operations with Marketing and Events.

Office Management/PA

  • Extensive management of CEO and Senior Leadership team’s diaries including liaising with clients and candidates to arrange meetings and conference calls. 
  • Co-ordinating travel arrangements and logistics for CEO relating to meetings and business trips
  • Day to day management of the office including liaising with external office suppliers, effective resource management and the general day to day upkeep and organisation of the office.
  • Manage and maintain filing and office systems.
  • Manage annual policies
  • Assisting in processing new joiners to the firm
  • Front of house both answering the main phone line and welcoming guests.
  • Ad-hoc projects and tasks as directed by the CEO and Senior Management

Finance Assistance

  • Processing and accurate data entry of all incoming invoices
  • Updating online finance systems with monthly figures
  • Filing and organisation of all invoices
  • General ad-hoc assistance

Marketing & Events

  • Assisting the Operations Manager with the organisation of client events including our annual Conference and internal events such as our quarterly socials, Summer and Christmas Parties and quarterly top performer lunches.
  • Ensuring the website blog and company LinkedIn page are kept up to date with industry relevant articles and job postings
  • Posting job adverts on website and job boards
