Personal Assistant

The Client

Our client is a global retail leasing company.

Key duties include:

  • Act as personal assistant to the group leasing director - maintaining their diary and email management
  • Taking minutes at meetings, assisting with preparing presentations, coordinating extensive European and UK travel, organizing and co-ordinating meetings and telephone/video conferences, ensuring effective lines of communication so that relevant information is shared among the leasing team.
  • Act as a first point of contact for both internal and external enquiries - proactively responding to enquiries and coordinating 'new interest' enquiries. Maintaining and developing a clear understanding of business issues to represent the business and provide a credible source of first base information.
  • Producing standard documents such as, department organisational charts, economic terms, leasing brand activity sheets. Prepare weekly brand performance reports and circulate to the regional leasing directors.
  • Organising and co-ordinating key department group meetings and conferences, ensuring sufficient catering is provided for meetings.
  • Coordinating teams to produce internal and external board meeting reports. Assist with coordination of corporate events in liaison with the marketing team.
  • Compile expenses reports and ensure they are kept up to date.
  • Receive leasing fees for each region at month end, collate and circulate to the group leasing director and regional leasing directors. Assist group leasing director with end of year leasing fee income documentation and budget forecasts.

  • Educated to A level standard or equivalent
  • Proven experience working as a personal assistant
  • Knowledge of retail/property environment is desirable
  • Strong numerical aptitude
